A large part of my role as a digital marketer is managing blogs, which
entails inviting bloggers to guest post on the blogs to increase their
exposure, up their SEO, and add to their blogging resume. The benefit
for my clients? They get great content for their blogs and increased
exposure through the guest bloggers’ network. Sounds like a win-win,
right? It is- but while it may seem like it would save a lot of time,
it can be a time-consuming process if not done with efficiency in
mind. Over time, I’ve learned some best practices for maximizing my
time and reducing the number of back-and-forth emails I used to send
Get the HTML code for the post: If a blogger sends
over a Word document or text in an email, it will inevitably take you
time to reformat the post for your blog. Save yourself time and
maintain the bloggers’ intended formatting by requesting that they
send over the HTML code for their post instead of just text. Bonus:
you won’t have to insert hyperlinks or photos because this will be
done by the blogger! If a blogger is unsure of how to write or find
the HTML code for their post, remind them that they can write the post
on their blogging platform (like WordPress or Blogger) and then
copy-and-paste the HTML code from there.
Ask for specifics: If you have guidelines for post
length, be upfront with them. If your site is like the ones I manage,
you’ll need a bio from the guest contributor. Save yourself the hassle
of having to edit the bio yourself or ask them to change it by telling
them exactly what you would like (for example, how many sentences
should the bio be? Should it be in third person? Do you need a
headshot too? How many pixels should it be?).
Use Canned Responses: Heard of Gmail Labs? You can
find these experimental features from Gmail under your email settings.
Enable the Canned Responses lab and begin saving the emails that you
find yourself sending often. Hint: write up an initial outreach email
and save it as something like “Guest Contributors- Initial Outreach.”
Draft another email outlining all of your guidelines (like your
preferences for their bio and headshot!) and save it as “Guest
Contributors- Follow Up (Guidelines).” That way you won’t find your
tired fingers typing out the same answer over and over again.
Set specific dates then follow up:
When emailing guest bloggers, give them 3-4 options for dates that
their post could be published. In my experience, inviting a blogger to
write a post and then failing to set a deadline often results in the
blog post never materializing. Be sure to request that they send over
the HTML code and bio in enough time for you to edit the post if need
be. Many bloggers have a lot on their plate, so use a service like
Boomerang to remind them (and you!)
about their upcoming deadline. Just send an email then mark it to
“boomerang” back to your inbox the morning after their draft is due if
they haven’t send it over yet.
